Refund and cancellation policy

Eligibility

Refunds apply only to fees paid under a signed written proposal for an engagement such as a Cycle Diagnostic, Category Spend Visualization, Supplier Lead-Time Study, or Quarterly Cycle Briefing.

Timeframe

Cancellation requests should be sent in writing to info@system-latticebase.click at least seven calendar days before the agreed kickoff date for a full refund of unused prepaid fees, minus any non-refundable deposit stated in the proposal.

Full and partial refunds

If we cancel an engagement for reasons within our control before work starts, prepaid fees are refunded in full. If work has started—document collection, interviews, or draft maps—fees are refundable only for unused phases, calculated against the proposal’s phase schedule. Completed phases are not refundable.

Non-refundable items

Agreed deposits that secure calendar time, third-party travel booked at your request, and printing or courier costs already incurred for your engagement are non-refundable unless we cancel without cause.

Process and timing

Email a refund request with your proposal reference and reason. We confirm eligibility within five business days and process approved refunds within fourteen business days to the original payment method where possible.

Cancellation and rescheduling

You may reschedule a kickoff once without fee if you give at least five business days’ notice. Later reschedules may incur a reasonable administrative fee stated in the proposal. Quarterly retainers may be ended at the end of a paid quarter with thirty days’ written notice; unused days inside an active quarter are not prorated unless the proposal says otherwise.

No-shows and delayed inputs

If scheduled interviews or briefing sessions are missed without notice, that session may be marked complete for scheduling purposes. Delays in providing agreed samples may extend timelines without automatic refund.

Work already started

Draft cycle maps, boards, and briefings prepared before cancellation remain our working papers unless the proposal transfers ownership earlier. You remain responsible for fees covering work performed.
